Community Outreach Proposal

Summary:

Mission statement
The aim of this program is to provide computing hardware and IT support to non-profit organizations and educational facilities in the local community. The RMU Student Chapter of the ACM intends to improve its visibility and contacts in the community. This program will also present members the opportunity to work with computer hardware and software at a level they may not be exposed to in the classroom.

Project profile overview
Scope
The project will involve undertaking research in what organizations need computers and what we can provide them with. The ACM will restore RMU’s older computers to working order and donate them to an organization who wants them. These computers may need to be repaired and have software installed onto them. If the organization that needs them is unable to, the ACM will provide support in setting up the computers.

Schedule
While finding organizations that need computers will be a continuing process, the first organizations will be found within the Fall 2006 semester. Setting up and donating the computers will follow a custom schedule per client.

Costs
The RMU Student Chapter of the ACM will be pursuing budgeting from SGA, but this is small seed money, nothing substantial. Licensed software costs will look to be subsidized by the receiving organization or a third party contributor. The program will investigate appropriate open source or free software solutions. Hardware requirements are going to be pursued for no cost from within RMU.

Risks
A considerable amount of the hardware we receive may be too old or deprecated to donate. If organizations need licensed software, like Windows XP, we may not be able to provide them with it initially. Regarding open source solutions, some organizations may not have the technical skills to operate it properly, for instance, Linux OS.

Target customers
Educational and non-profit organizations in the local community who are in reasonable need of computers or IT solutions but cannot afford to buy new ones.

Needs
The RMU Student Chapter of the ACM will need access to RMU’s older computers and miscellaneous hardware which are no longer used. The chapter will also be looking into increased amounts of funding from the SGA as the program ramps up.

Satisfaction measures
Success will include RMU getting rid of older computers which may be costly to recycle. We can also simply count the number of organizations we are able to assist. Chapter members who work on the project will provide feedback on the skills and benefit they receive from participation.

Key technology
This will depend on the particular software requested by the receiving organization. This software will likely include Linux, Firefox, and Open Office. Hardware will most likely average as Pentium 3, 256 MB RAM, 10 GB HDD, and other comparable technology.

Operational requirements
None.

Critical project constraints
Performance
The computers need to meet standards set by receiving organizations and be capable of running the software packages needed for each project, these values will be changing too much to document here.

Ease of use
Once a disk image is produced for a particular set of needs or hardware it can be copied as many times as necessary to similar computers, making the process of delivering solutions easy and efficient.

Volumes
The project will need at least one person to search for organizations to donate to and at least one person to set up older computers to operational status. We also hope to assist one organization per semester, even if that means just specifying a need and delivering at a later date.

Key financial indicators
The chapter can estimate the recycling/removal costs saved by RMU. We can investigate the savings versus commercial hardware/software/service costs. Depending on student involvement and specific skills trained, we can determine the value of the education gained through setting up the machines.

Internship Assistance Proposal

Summary:

Mission statement
The Internship Assistance project is designed to collect and distribute information on reputable internships in software engineering or information technology in the greater Pittsburgh area. The project will pair students looking for internships with those who have completed one for discussion and assistance.

The Internship Assistance project will support the professional and academic community that exists between engineering and information technology students. It will also increase the value of a student’s experience at RMU. This project will eventually affect the operation of the RMU Career Center and may eliminate the need for the RMU Student Chapter of the ACM to continue the program.

Project profile overview
Scope
The first phase of this project will require the simple collection of internship opportunities in the software engineering and information technology fields within the greater Pittsburgh area. More than likely, this information will come from upperclassmen that have completed an internship with the company.

The ACM will compile this information, keep it up to date, and stay in contact with the companies to ensure their continued participation. Students will be able to contact the other students who have completed an internship at a particular company. The end result is to foster communication between students about the roles, requirements, and merits of particular internships.

Deliverables include
* (get Career Center documents)

Phase 2 will consist of collaboration with the RMU Career Center to implement the Phase 1 materials into their normal operations.

Schedule
Phase 1 should be an ongoing implementation, although the RMU Student Chapter of the ACM would like to have enough material to have an official project meeting and release a document by midterm of the Spring 2007 semester [get date].

Phase 2 should see initial implementation by the time registration for the summer semester begins [get date]. The preparation in Phase 1 should allow quick assimilation of the documents into the Career Center’s normal materials.

Costs
The only cost associated with this project is time. RMU Student Chapter of the ACM members and officers will be compiling the documentation. They will use some sort of documentation system, whether Microsoft Word or Excel, which is already available at no extra cost.

Risks
The only risk is non-acceptance of the material by the Career Center.

Target customers
This project has one main customer, students, and one secondary customer, Career Center staff.

"Student" describes any person enrolled at RMU that requires credits for an internship in software engineering or information technology. They will be the customer of the raw information from Phase 1 as well as peer-to-peer assistance.

"Career Center staff" describes anyone who has responsibility in maintaining internship opportunities, communication with companies for such opportunities, and facilitating the finding of an internship for a student. They will be the customer of the refined deliverables, as stated for Phase 2.

Needs
The project will require the input of students who have taken an internship at a reputable company which has been considered adequate to meet the requirements of RMU. Also required is the participation of upperclassmen in discussing various facets of the internship requirement with underclassmen. Facilities are assumed to be reasonably available for meetings (student lounge, John Jay conference center, or less formal areas such as the Market Place).

These inputs will be best put to use if the Career Center documentation is followed as a template. This will facilitate acceptance of the materials in Phase 2.

Satisfaction measures
Phase 1 participation, by students seeking internship assistance, will be measured directly. The RMU Student Chapter of the ACM will be involved in each of these cases and can simply track the number of students engaging the system. The usefulness of this project can be gauged through student feedback and the number of students accepted for internship positions directly through project information.

Phase 2 successes can be measured in a similar fashion, although company feedback will be incorporated as part of the normal internship process.

Key technology
The project relies on no particular technology. A simple mechanism for storing the raw internship data will suffice (Microsoft Word or Excel files in a shared or limited access file system or email account). The faculty advisor for the RMU Student Chapter of the ACM can store this information on a permanent basis and it can be distributed as necessary or stored on the chapter email account semi-permanently.

Operational requirements
None.

Critical project constraints
Performance
The project needs to be built on comprehensive documentation so that Phase 2 acceptance is as smooth and quick as possible.

Ease of use
Volumes
Provided enough information is gathered on internship opportunities, the chapter is going to need enough participants willing to discuss the information with other the students. From previous available data, we assume about 10 students per semester participate in internships. We would expect input for at least 70% of them (considering reputable, value added internships only). We would hope all students looking for internships would use the chapter system and eventually the Career Center resources.

Internship Assistance Program

Summary:

The mission of the Internship Assistance Program is to to collect and distribute information on reputable internships in software engineering or information technology in the greater Pittsburgh area.

ACM National Organization

Summary:

The ACM National Chapter plays a small role in the functioning of the local student chapter. The chapter tools and web interface can be accesses via the ACM Chapter Administrative Interface. More information is available on the ACM Student Chapter Homepage.

Chapter profile
The chapter profile is basically just a listing of contact information for the chapter: phone number, mailing address, website (currently set to the our RMU hosted chapter page).

Chapter members
Local members listed here will receive information from the national chapter mailing lists. As well, they will be counted for purposes of minimum membership requirements.

Chapter officers
The national chapter requires several officers. Our chapter has a history of electing a Vice Chair and consolidating the Treasurer and Secretary position.
* Faculty Sponsor
* Chair
* Treasurer
* any one other officer

To simplify the officer listing and as a format for expected terms, mark the term starting date as
01-Sep-[year]
and the term ending date as
31-Aug-[next year]

Local activities calendar
Our chapter is currently not making use of the calendar.

Annual report
The report can be filled out electronically or by mail. Past reports can be viewed online and may be on file in the SEMS Student Activities Office.

The major sections of the report are
* Section 1 - Basic Finances & Census
* Section 2 - Cash & Dispursements
* Section 3 - Meetings & Recent Activities
* Section 4 - Upcoming Activities
* Section 5 - Authroization & Signatures
* Section 6 - Finalize Report

Important resources
There is a lot of important information on the national chapter website for chapter officers and members. Some of those links are summarized here.
SGA

Summary:

The Student Government Association is the governing body for student organizations and activities at RMU. Each student organization is responsible for attending the meetings and keeping their records current with the SGA. It is also an excellent representative of the students' needs to the administration and trustees, as well as a focal point for distributing information down to the student organizations and, ultimately, to the students.

Meetings
The SGA meets with the student organizations every Wednesday at 5:15 PM in the 300 level of the Hale building. There is an official meeting agenda that is covered quite strictly at each meeting. It is not available online, but is on file in the SEMS Student Activities Office.

Student organization dinner
Approximately three or four times a year, the SGA holds a student organization dinner. It is usually held in the early evening in the Sewall Center and is open to several members of each organization. The purpose of this dinner is not just to thank the student officers for their contributions, but to bring everyone together to touch base on some of bigger issues.

The Student Activities Office or SGA will provide an attendance form, it must be filled out and returned within a week of the event date.

Organizational roster
The SGA requires that each organization fill out a roster each school year. The roster lists the name and year of each member, officer information, and any committees that may be in place.

The roster can be picked up in the organization mailbox or at the Student Activities office, and must be returned to Student Activities.

Budget/finances
The official requirements for finances are not available online, but are on file in the SEMS Student Activities Office.

The budget must be submitted each semester with a proposal letter and table of expenses/income. There are several requirements of the organization for submitting a budget
* attend the SGA representative training meeting
* submit organization roster
* (recommended) have Community Service events
* (recommended) have Social Activities listed
* (recommended) have Professional Service events
* list some income generating event (even just dues collection)

The budgets will be reviewed by the SGA treasurer. If there are any issues the SGA will meet with one of the officers. Final allocations for the Fall semester will be available in early November.

Using the budget
The organization should be requesting what it will and can spend. A history of full spending will result in consistent allocations between semesters (so, do not over-budget for no reason!).

The SGA Treasurer will have reimbursement forms available for the organization. Simply fill out the form, attach a receipt or supporting document, and turn it into the SGA.
