Council Meeting Minutes for November 05, 2007

Mike Walsh held a proxy for John Halbur.

Evan Costsky was a new person attending the meeting.

Call To Order

LA ACM Chapter Chair John David N. Dionisio (Dondi) called the meeting to order at 5:45 P.M. at Loyola Marymount University (LMU) Doolan Hall.

Approval of Minutes

The October minutes were corrected to say that Cheri Kaylor was the person who gave the Member –at-Large notebook to Elizabeth Manderfield, rather than John Halbur. It was moved that the minutes be approved as corrected and the motion was passed without objection.

Standing Reports

Chair's Statement

Dondi said that that LA ACM is establishing a web presence. Andy McCallister has taken charge of the Blog site. Kyle Barton is handling the Wiki site. The Wiki site is a collaboration site where we expect to place long-lived documents that we may want to change and record the changes. Andy and Dondi have passwords to the Blog site. Multiple accounts can be created on the Wiki site and the individual who has the account will be the person who can write to it. The blog site has only one account and anyone with a password can post to it. Wiki sites can have multiple accounts for individuals. No change is ever lost in the wiki world; there is a history of all changes that have been made. The minutes can be posted on the wiki site and people can come in and make changes or discuss them without making any changes. Mike Walsh will post the minutes to the wiki this month and see how things work. Dondi will come up with a method for proceeding and contact interested parties.

Treasurer

Ray Toal was not present and no new Treasurer’s report was presented.

Records Controller

There was no new report from Lee Schmidt. Dondi said he had been exploring what software was available from ACM to help transfer our records into an online system. Lauren Ryan sent him information on how to acquire another account for the chapter and Dondi is reviewing this information.

Government

Elizabeth Manderfield talked to Steve Rowell. He said he probably has the Education notebook but doesn’t know where it is and hasn’t been putting records into it. Caskey said that Steve has the binders and the books that he gave him to review about course certification and we should get these back from him.

Membership

We are getting some possible members at the Fishco meetings. Attendance has been averaging 15-16 people.

Publicity

Espe is on vacation and so no report was provided.

DATA-LINK

The DATA-LINK deadline is Friday, November 9, 2007.

Webmaster

Myron Pullen and Dondi discussed the on-going work on the LA ACM web presence.

The Blog and Wiki are now available and the content is in progress at:

Dondi said the LA ACM website archive has been committed to LMU servers.

Dondi will give himself an action Item to give everyone a forum where they can post their comments.

Program

There is a professional mixer after this Council meeting at the El Segundo Fish Company.

The next LA ACM Council meeting was scheduled to be held on Monday, December 3, 2007, in Doolan Hall, starting at 5:30 P.M. and ending about 6:15 P.M. After the Council meeting the professional mixer will be held starting about 6:30 P.M. at the El Segundo Fish Company.

Mike Walsh said that the meeting and mixer on the schedule for January 7, 2008 conflicted with the BCS Championship Football game and recommended they be rescheduled. (After the meeting Mike confirmed that the BCS Championship is scheduled for January 7, 2008,)

Education

Steve Rowell has relinquished his position as Education Chair and the position is now empty. LA ACM is still reorganizing and if we can put something together in the future we may have another Professional Development Seminar (PDS) but we are not set up to do it right now.

Liaisons

Mike Walsh reported nothing was done recently.

Unfinished Business

Audit

Caskey Dickson reported that he has no update on the audit. Andres Burtica volunteered to be the Auditor for the 2006-2007 year.

New Business

Tax Form 990

Dondi received a set of updated instructions from the IRS for Form 990. Mike Walsh and Elizabeth Manderfield both said that ACM takes care of the report required to the IRS for the LA Chapter based on the information we provide them in our Annual Report to ACM. Dondi read from the form and it seemed clear that it updated some items that did not apply to the LA Chapter and that it was information that was apparently mailed to all of the addresses the IRS had for this form.

LA ACM Sponsorship of LMU Fieldtrip

Dondi requested that LA ACM sponsor the LMU “field trip” to the Southern California Conference for Undergraduate Research (SCCUR 2007) that will be held on November 17, 2007 at CalState LA (CSULA).

A motion was made that LA ACM sponsor up to 11 LMU students to attend the conference at a cost of $75.00 each. The motion passed without objection. LMU employees abstained from the vote.

Myron will put a notice for the event on the website if the information is provided to him. B.J. said this is a good idea and can be used to get more interest in ACM at other schools. The conference covers general research and is not restricted to computer science. It is a daylong conference. The one LMU student that we know is attending has will give a presentation on 3-D rendering.

Adjournment

A motion to adjourn was approved unanimously. The meeting was adjourned at 6:30 P.M.
